Real Estate Management

Document Archive, Payments & Reporting

A versioned archive of registry extracts, committee decisions, plans and invoices with full-text search and access logs, plus consultant costs, payments and management reporting.

The archive

Every document, versioned and findable.

Legal, planning, financial and general documents share one store: registry extracts, joint-ownership agreements, powers of attorney and legal opinions; committee decisions, applications, maps, zoning documents and architectural plans; invoices, receipts, consultant agreements and payment confirmations. Upload is drag-and-drop and multi-file, every document is versioned, and access is logged.

🔎

Full-text search

Across the archive, plus structured search by client, block, parcel or document type.

🕓

Version control

Documents change. The superseded version is still there, and it is clear which is current.

📋

Metadata & expiry

Upload date, uploader, category and expiry held on every file.

🔐

Access logs

Who opened which document, when — a requirement rather than a nicety in this domain.

Money

Consultant costs, expenses and what is outstanding.

Payments are tracked against the case and the consultant — outstanding, overdue and paid — and roll up into expense, consultant-cost and outstanding-payment reports. Anything that has to leave the system leaves as Excel or PDF.

Portal

The client’s own file, and nothing else.

The practice’s clients get portal access to their documents and invoices. It is scoped to their own records, it is read-oriented, and it removes the largest single category of inbound calls — “can you send me a copy of…” — without opening anything else in the system.
